The short version: decide headcount and format, food flexibility and station access first

For a year-end party of 30–100 people, event spaces are a real alternative to restaurant banquet rooms: you choose the food and drinks yourself and can plan the program freely. Conditions vary widely between venues, so settle these six points first (information as of October 2026).

1. Headcount and format

Standing fits more people and lets guests move between groups — good for cross-team parties. A seated buffet is calmer but holds fewer. Compare the venue's standing and seated capacities with your numbers.

2. Food and drink carry-in

At event spaces you usually order food from a caterer. Check whether there is a carry-in (corkage) fee, whether you can choose any caterer, and whether there are refrigerators and equipment to reheat food. See the glossary.

3. Station access

December nights are cold and sometimes wet. A venue you can reach without walking outside helps latecomers and anyone heading to an after-party. Stations with several lines make it easier for guests going home in different directions.

4. Equipment for speeches and awards

Check for a microphone, a large monitor and a way to connect a laptop for the opening toast, annual awards or a review-of-the-year slideshow.

5. December rates

December is peak season at many venues, and rates or minimum hours may differ. Ask for a quote for the actual day and time. Even where weekend evenings cost more, weekday evenings may be at the normal rate.

6. Booking timing

Friday and Saturday evenings in December are in high demand at many venues. Once you have two or three candidate dates, place a hold first and collect attendance afterwards. Check when cancellation fees start at the same time.
